Tracking Time and Adding Expenses in BigTime Mobile
Overview
Make sure your staffers are aware of the work they need to complete by setting up notifications. Notifications can be sent to your staffers through email or by BigTime’s in-app messaging system, available to users with Advanced, Premier or Projector packages.
Send notifications when:
- A staffer is assigned to a task,
- A staffer’s expense report is approved,
- A staffer has rejected time or expenses, or
- A manager or team lead has time or expenses to review.
In this article, we’ll explain how to activate notifications in BigTime and how to customize them, so the content is firm-relevant.
Activating Your Notifications in Bigtime
1. Navigate to MY COMPANY...NOTIFICATIONS.
This will take you directly to NOTIFICATION SETTINGS. Here, you can check the box(s) next to the notification(s) that you want to send out.
2. Click SAVE to save your selection.
Edit Notifications
You can edit each notification group, so the email your staffer receives contains firm-relevant information.
We’ll provide an example below:
1. Click the EDIT NOTIFICATIONS button to the right of your screen.
2. A new window will open with two tabs labeled NOTIFICATION DETAILS and EDIT NOTIFICATIONS. Below EDIT NOTIFICATIONS is a box where you can add a NOTIFICATION TYPE. Click the arrow on the right side of that box and a picklist will appear.
3. Click on a notification type that you want to customize. This will cause a “subject” and “message” textbox to populate. You can personalize individual notices before they’re sent out in the system by typing into each box. For example, we can change the subject to “You’ve been assigned to a new task.”
4. Click SAVE to save your work.
Follow the above steps to make changes to other notifications.
TIP: Address Messages by Name
You can have your messages address users by name. Simply type: {{Staffer.FName}} into the subject or message fields where you want the staffers’ first name to appear.
Say you want to send this message:
“Hi Henry, You’ve got some timesheets to review. Please make sure to approve/reject these timesheets. Timesheets are due to be reviewed every Friday.”
You can have the system recognize a staffer’s name of the recipient by typing the following:
“Hi {{Staffer.FName}}, You’ve got some timesheets to review. Please make sure to approve/reject these timesheets. Timesheets are due to be reviewed every Friday.”
Opt Out of Notifications
If you'd no longer like to receive notifications from BigTime, opting out and turning notifications off is simple. Just follow the same steps as above to navigate to your notifications settings window and uncheck the box(es) next to the type(s) of notifications you'd no longer like to receive. Then, click SAVE.
Stopping Users from Receiving Payment Notification Emails
Received payment notification emails are sent automatically to any user with the Financial Administrator permission. There is no individual unsubscribe option for these emails. The only way to stop them is to remove the Financial Administrator permission from the user's account, either by moving the user to a different security group or by editing the group they belong to.
Resolution Steps
Decide which approach fits. Use Option A if the user should move to a different role entirely. Use Option B if the change should apply to everyone in that user's security group.
Option A:
- Step 1: Go to Resourcing > Staff List and open the affected staff member's record.
- Step 2: Open the User Rights tab within the staff record, then change the security group to one that does not include the Financial Administrator permission and Save.
Option B:
- Step 1: Click the Gear icon in the top right corner and select User Rights.
- Step 2: Open the security group the user belongs to, remove the Financial Administrator permission, then Save the group changes.
Best Practices
- Before removing the permission, confirm the user does not still need access to invoicing, payment processing, or accounting integrations.
- Remember that editing a security group changes the permission for every user in that group, not just one person
- Review security group assignments periodically to confirm only the right users hold the Financial Administrator permission
Expected Outcome
After the Financial Administrator permission is removed, whether by changing the user's security group or editing the group itself, the system stops sending received payment notification emails to that user.
