BigTime’s Email Log gives System Administrators full visibility into all system-generated emails sent from the platform. Whether you're monitoring notifications for user engagement or confirming a client received an emailed invoice, the Email Log offers a centralized place to view, filter, and export your email history.
How to Access the Email Log
To view your Email Log, follow these steps:
- Navigate to My Company in the top navigation bar.
- Click on Notifications from the dropdown.
- Select the Email Log tab at the top of the page.
Access to the Email Log is restricted to users with System Administrator permissions. If you don’t see the tab, ensure your user role includes admin privileges.
Keep in mind that the Email Log displays only the most recent 500 emails sent from your system. This rolling limit ensures optimal performance while still giving you access to recent and relevant communication data.
What Information is Available
Once inside the Email Log, you'll see a table listing each email along with detailed information, including the name of the recipient, the email address it was sent to, the subject of the message (often listed as BigTime Notifications), the type of recipient (To, CC, or BCC), the date it was sent, and the delivery status.
Understanding Email Statuses
Each email entry includes a Status field, which helps you track how far your email progressed once it left the system. Here’s what each status means:
- Delivered indicates the message was successfully received by the recipient's mail server.
- Opened means the recipient has opened the message.
- Clicked shows that the recipient clicked on at least one link within the email.
- Bounced means the email failed to deliver, usually due to issues like an invalid email address or a problem with the recipient’s mail server.
- Undelivered indicates the email failed to reach the recipient, but no bounce was received (often caused by server or spam issues).
These useful statuses can help you troubleshoot issues or confirm communication activity.
Filtering and Sorting
The Email Log includes filtering and sorting tools to help you locate specific emails quickly. You can click the funnel icon in the upper right corner of the table to apply live filters to a single column or a combination of columns. Additionally, each column can be sorted individually. For example, you might sort by Sent Date to see the most recent emails first.
Exporting the Email Log
If you need to save, share, or analyze your email data outside of BigTime, you can export the Email Log in multiple formats. The export feature supports PDF, XLS, and DOC file types, allowing for flexibility depending on your reporting needs.
To export the log, simply click the Export button in the upper-right corner of the Email Log screen. Choose your preferred format and the download will begin immediately. The exported file will contain all visible columns.
