Overview

Your firm needs to keep track of particular data types to ensure you’re achieving your strategic goals. This is why creating personalized reports tailored to your needs is so crucial. Thankfully, BigTime Foresight is here to help. 

The main advantages of Custom Reports:

  • you can save a report,
  • you can share a report with your teammates inside Foresight,
  • you can choose whether the report should be automatically updated or saved as a static data snapshot,
  • report date ranges can be set as fixed or with automatic updates (last month, this month, last year, etc.).

Entering Custom Reports

To start creating custom reports, ensure you have the appropriate user permissions to access them without cost visibility restrictions. This article explains different permissions and accesses with Foresight.

Once you have those permissions, log into Foresight in the manager role and click on the REPORTS tab in your main navigation sidebar. Then, open the CUSTOM REPORTS sub-tab. You can view, generate, or edit a custom report here.

Generating Custom Reports

The image below shows how to generate a Custom Report correctly. To make the report easier to read, click on it and open the report editor modal. Then, select the "Simple Structure" checkbox and click SAVE AND OPEN to return to the main report view. This will produce an easy-to-read report.

Editing, Duplicating, Deleting and Sharing Custom Reports

To edit, duplicate, share, or delete a report, look to the icons on the right side of your report rows. These icons correspond to different actions, as follows:

Blue PENCIL: edit a report. 

Green PAGES: duplicate a report.

Blue SHARE: share a report.

Red TRASH: can delete a report.

If you have successfully shared the report, you will see a checkmark in the IS SHARED column. The report will be visible in the CUSTOM REPORTS sub-tab, under the REPORTS tab, for every manager who can access this report.

Downloading Custom Reports

You don't have to create a chart to download your report. If you use the auto-update option, the data will be updated automatically. Remember to download the report to save data from a specific time range. Otherwise, it will automatically update every time new data is logged.

Generating Charts

To generate a chart, uncheck the “Simple Structure” checkbox in the report editing modal. 

In the images below, you will find short step-by-step instructions on how to generate charts. When configuring the chart, no report data is changed. You can switch chart types depending on your needs.

Access Report ➡ Scroll down to the bottom of the page ➡ Click Add chart button ➡  Configure chart ➡ Click Bar/Line Chart ➡  Type the Title ➡ Click Add datasets button ➡  Configure the chart in a pop-up window ➡ Choose Bar Type ➡ Click OK button

 

Line Chart

 

Access Report ➡ Scroll down to the bottom of the page ➡ Click Add chart button ➡  Configure chart ➡ Click Bar/Line Chart ➡  Type the Title ➡ Click Add datasets button ➡  Configure the chart in a pop-up window ➡ Choose Line Type ➡ Click OK button

Explaining Custom Report Values

The table below presents values in Custom reports. The acronym "FTE" stands for Full Time Equivalent, which describes any fully employed person, even if the number of hours they work may vary week to week.

Scheduled Billable Hours Time scheduled in billable assignments expressed in hours.
Scheduled Non-Billable Hours Time scheduled for non-billable assignments is expressed in hours.
Contract Capacity Minutes A maximum work time is needed for an individual staffer to be able to handle within a given time frame. The value comes from a staffer’s contract, and time off doesn’t reduce it. It’s expressed in minutes. 
Contract Capacity as FTE A maximum work time is needed for an individual staffer to be able to handle within a given time frame. The value comes from a staffer’s contract; time offs don’t reduce it, and it’s expressed as FTE. 
Contract Capacity Hours A maximum work time is needed for an individual staffer to be able to handle within a given time frame. The value comes from a staffer’s contract, and time off doesn’t reduce it. It’s expressed in hours. 
Capacity Minutes A maximum work time is needed for an individual staffer to be able to handle within a given time frame. The value comes from a staffer’s contract, reduced by time-offs and expressed in minutes. 
Capacity as FTE A maximum work time is needed for an individual staffer to be able to handle within a given time frame. The value comes from a staffer’s contract, and time-offs reduce it, and it’s expressed as FTE.
Capacity Hours A maximum work time is needed for an individual staffer to be able to handle within a given time frame. The value comes from a staffer’s contract, and it’s reduced by time-offs and expressed in hours.
Billable Capacity Minutes A maximum work time is needed for an individual staffer to be able to handle within a given time frame. The value comes from a staffer’s contract, and time-offs and assignments reduce it with an Assign Leftover Capacity checkbox checked. The value is expressed in minutes. 
Billable Capacity as FTE A maximum work time is needed for an individual staffer to be able to handle within a given time frame. The value comes from a staffer’s contract, and time-offs and assignments reduce it with an Assign Leftover Capacity checkbox checked. The value is expressed as FTE.
Billable Capacity Hours A maximum work time is needed for an individual staffer to be able to handle within a given time frame. The value comes from a staffer’s contract, and time-offs and assignments reduce it with an Assign Leftover Capacity checkbox checked. The value is expressed in hours. 
Availability in Hours The person's available time remains to be allocated. Contract Capacity is reduced by time offs, assignments with an Assign Leftover Capacity checkbox checked, and assignments in Active status. The value is expressed in hours.
Availability as FTE The person's available time remains to be allocated. Contract Capacity is reduced by time offs, assignments with an Assign Leftover Capacity checkbox checked, and assignments in Active status. The value is expressed as FTE.
Time Off Minutes Approved time-off expressed in minutes
Time Off Hours Approved time-off expressed in hours
Time Off Days Count Approved time-off expressed in days (number of days with approved time-offs)

Input Minutes All time logged for billable and non-billable projects is recorded in minute format. Input minutes account for both submitted and unsubmitted time.
Input as FTE Time logged in billable and non-billable projects expressed as FTE
Input Hours Time logged in billable and non-billable projects expressed in hours
Input Billable Hours The number of billable Time Entries expressed in hours. These hours can be logged in billable and non-billable projects. 
Input Non-Billable Hours The number of non-billable Time Entries expressed in hours. These hours can be logged in billable and non-billable projects.
